Roles

Property Procurement

a property management professional who selects and manages vendors and contracts for repairs, services and supplies across properties

Your job, minus the screen work

You decide who does the work across a portfolio, at what price, and with what proof of insurance and license. Every repair or service you don't do in-house goes to a vendor, and every vendor call is a small decision about qualification, price and authority. Most of your day is spent making sure those rules actually got followed.

Where your week goes

  • Reading weekend emergency dispatches and spotting the calls that could have waited until morning
  • Checking insurance certificates and licenses before a vendor gets assigned
  • Writing a not-to-exceed amount on work orders that forgot one
  • Answering vendors who ask why someone else keeps getting the work
  • Confirming resident appointments so the plumber doesn't knock on a locked door
  • Updating the credential spreadsheet from emailed certificates
  • Matching vendor invoices to work orders across a long tail of vendor portals

What an agent takes over

What stays with you

  • Awarding contracts and adding vendors to the approved list

  • Negotiating rate cards, service agreements and emergency rates

  • Holds, disputes and any spend above the agreed limit

  • Every vendor bank account change and every charge passed to a resident

Apps you already juggle

Yardi Voyager, RealPage, AppFolio, vendor portals, mobile work order apps, building sensor alerts, banking portals, Outlook, Excel and SharePoint. The agent works them through the screen with no integrations to set up. Product →

A week, before and after

Before

  • Monday: find a plumber dispatched Saturday whose insurance expired Friday.
  • Wednesday: field complaints from vendors who haven't been called in a month.
  • Friday: retype certificates into the credential spreadsheet.

After

  • Monday: one review queue lists every weekend dispatch, class and ceiling.
  • Every day: an expired certificate simply can't be assigned.
  • Friday: the time goes to bids, negotiations and vendor reviews.
